Silver is heavy, reflective, soft enough to mark, and vulnerable to poor packaging. A receiving workflow protects both the metal and the buyer's evidence. The steps below suit ordinary bullion, not museum artifacts or rare coins requiring a conservator.
Step 1: prepare before dispatch
Create a pending inventory line with order number, seller, product, quantity, gross weight, fineness, expected fine ounces, serial range if provided, delivered price, carrier, and deadline. Assign a private inventory code that does not reveal where the metal will sit.
Prepare:
- A clean, uncluttered inspection surface
- Camera and private file location
- Calibrated scale with sufficient capacity
- Caliper appropriate to the product
- Clean, suitable gloves
- Trays that prevent rolling or drops
- Stable replacement storage materials, if needed
- A secure temporary quarantine area
Calculate the full shipment weight. Confirm that shelves, drawers, safe floors, and the route into storage can handle it. Divide a large holding into liftable modules rather than creating one dangerous container.
Step 2: document custody at the door
Record delivery time, recipient, tracking number, label, box condition, seals, dents, moisture, and unusual sounds. Photograph all sides before opening. If value and privacy conditions justify it, record a continuous opening video.
Retain the outer package, padding, invoice, and labels until acceptance and dispute periods end. Stop if a shipment appears opened, substituted, empty, or materially damaged. Notify the carrier and seller through documented channels.
Step 3: reconcile the order
Work through one line at a time:
- Count sealed tubes, bars, cards, or bags.
- Check external labels and seals before opening anything.
- Match product, year, denomination, mint, refiner, and finish to the invoice.
- Reconcile serials across item, package, and paperwork.
- Record visible toning, spots, scratches, dents, tears, or resealing.
- Weigh and measure a sound sample or each high-value unit as appropriate.
- Photograph the lot and any discrepancy.
Do not force a tube, scrape a bar, wipe a coin, or cut an assay card to settle uncertainty. Preserve return rights and seek a qualified examination when evidence conflicts.
Step 4: create the inventory record
Use a ledger that can export to a durable format. A useful line contains:

Keep the storage map separate from the general inventory if several people need accounting access but not physical-location access.
Step 5: select compatible materials
Use chemically stable holders and clean containers sized to prevent movement. Avoid unknown soft plastics, adhesive contact, acidic paper, wood vapor, household rubber, wool, dirty felt, and recently painted interiors.
The Canadian Conservation Institute's guidance on storage of metals explains that salts, dust, moisture, sulfur compounds, some wood products, rubber, paints, and handling residues can promote corrosion or silver tarnish. It recommends clean storage, stable materials, supported handling, and suitable gloves. Museum standards can be stricter than ordinary bullion needs, but the material hazards remain useful.
Do not put latex rubber in direct contact with silver. Keep moisture and household chemicals out. If original mint tubes are used, inspect their condition and keep them from shifting under load.
Step 6: control access and load
Place heavy silver low enough to reduce tip and fall risk, but away from known water exposure. Storage advice from the University of Texas Libraries puts acceptable collection storage at 65 to 70 degrees Fahrenheit with relative humidity of 45 to 50 percent, and notes that these conditions hold most evenly in inside rooms, away from heat sources such as heating pipes and radiators, and away from windows and exterior walls. An interior room beats a garage wall for the same reason it beats an attic. Confirm the safe, cabinet, floor, and shelf ratings. Use separate containers with clear weight labels. Do not stack beyond the container design.
Limit access by role. Record openings, transfers, and count changes. Ensure a trusted successor can find instructions without publishing the holding. A storage plan that only one incapacitated person can use is incomplete.
Step 7: verify insurance
Ask the insurer in writing whether bullion, coins, bars, theft, unexplained disappearance, transit, flood, fire, and off-premises movement are covered. Record limits, deductibles, valuation method, documentation, security conditions, and exclusions. A homeowner policy may treat precious metals differently from ordinary contents.
Step 8: inspect without overhandling
Set a review schedule based on environment and insurer requirements. Check container condition, moisture evidence, pest or dust ingress, load, access control, inventory parity, and insurance. Compare condition photographs rather than repeatedly touching surfaces.
If tarnish or spots appear, document them first. Do not polish bullion or open packaging before checking its market and return effects.
Common questions
Should silver be stored in one large box?
Usually not if the resulting weight makes lifting, counting, or emergency movement unsafe. Smaller controlled modules can reduce handling risk.
Can I use household rubber bands around coin tubes?
Avoid rubber near silver because sulfur compounds can contribute to tarnish and bands deteriorate over time.
Must every coin be weighed?
The level depends on lot, seller, packaging, value, and risk. At minimum, reconcile all counts and identities, then use a documented sampling or individual-check policy.
Should the inventory show the exact hiding place?
Keep location data restricted and separate where practical. Accounting records should not expose access details to every reader.
